Purchasing Assistant

Job Summary
Assists the purchasing department in obtaining a continuous supply of goods and services necessary to support the operations of the Institute, providing customer service and support to Institute employees on routine departmental issues, and maintaining and distributing the appropriate documentation necessary to process the purchasing transactions in a timely and accurate manner in conjunction with the Accounting Department.

Essential Duties & Responsibilities

• Responsible for assisting the Buyers in the processing of purchase requisitions/editing, order placement, data entry
• Assist the Purchasing Staff with returns & back-order status checks
• Assist Purchasing Manager in sourcing special items as directed
• Assist with returns & back-order status checks
• Assist Accounting in resolving shipping and/or billing discrepancies
• Responsible for filing purchasing records and distributing paperwork to the appropriate departments

Leveling Requirements
High school education minimum, a college degree is desired with 0-2 years related purchasing experience. Normally receives general instructions on routine work, detailed instructions on new assignments. Skill set includes: computer skills (MS Office, strong in Word and Excel), knowledge of purchasing operating systems, data entry, phone skills, order placement and problem solving. Strong interpersonal skills are essential, particularly the ability to cooperate and interface with other Institute personnel offices and suppliers. Knowledge of Institute purchasing policies and procedures. Understanding of scientific terms, supplies, and equipment is helpful but not required.
